The British Columbia Centre of Excellence for Women's Health is looking for an Administrative Assistant to join their team. This position is flexible, part-time.
Reporting to a Director, the Administrative Assistant is responsible for providing confidential administrative support as well as providing general administrative support to the organization.
Some of the responsibilities are:
-Maintains appointment schedule and time commitments through methods such as receiving appointment requests and meeting/conference invitations, determining urgency and nature of requests resolving time conflicts, as required.
-Liaises with attendees and/or their staff to coordinate dates, times and locations.
-Maintains an awareness of women's health and project planning issues under discussion. Initiates actions as required. Reads and coordinates incoming and outgoing correspondence.
Maintains a follow-up system to ensure that action has been taken or replies have been initiated.
-Coordinates and manages projects as assigned, such as preparation of reports, managing of events, structural and strategic planning processes.
-Maintains academic CVs, ensuring they are complete, accurate, and current.
They are looking for someone with these qualifications:
-A level of education, training and experience equivalent to Grade 12 plus graduation from a recognized secretarial or administrative studies program plus five (5) years recent related experience, including a minimum of two (2) years at a senior level.
-Demonstrated ability to function in a fast-paced, demanding environment.
-Demonstrated ability to work in virtual environments, with distributed participants.
-Ability to use equipment including electronic scheduling, word processing, spreadsheet and presentation software.
-Ability to work independently and resolve administrative issues/problems.
